Bring all your team's email addresses into Freesbe
Most companies have more than one shared address: support@ for help, sales@ for new customers, billing@ for invoices. Give each one its own email inbox in Freesbe and its own channel, so the right people see each email and answer it from a thread. You need to be a Freesbe owner or admin, and able to change forwarding where your email is hosted.
This also works when your domain has no mailboxes at all, only forwarding. Your team answers in Freesbe, and customers get replies by email as if you had a full mail server.
1. Make a channel for each address
Section titled “1. Make a channel for each address”Decide which channel each address’s emails go to: #support for support@, #sales for sales@, and so on. Two addresses can share a channel, like billing@ and support@ both in #support. Create any channel you don’t have yet, and add the people who should answer.
2. Add an email inbox for each address
Section titled “2. Add an email inbox for each address”- Open Workspace settings → Integrations & apps → Integrations → Customer inbox and, under Shared email address, click Add email address.
- Give it a Name your team will recognize, like Sales email.
- Under Conversations go to, pick the channel for this address.
- Enter Your team’s address, like sales@northwind.example. Customers’ replies go back to it.
- Check Name on replies. A reply Sam sends comes from “Sam at Northwind Traders”.
- Click Add email address.
Repeat for each address. Every inbox gets its own Freesbe address to forward to, shown under Forward your team’s address to this one. Copy each one: you need them in the next step.
3. Forward each address to its Freesbe address
Section titled “3. Forward each address to its Freesbe address”Forward each of your addresses to the Freesbe address of its inbox, not all of them to the same one: that’s how Freesbe knows which channel an email goes to.
- Google Workspace: for a group like sales@, add its Freesbe address as a member of the group. For a mailbox, open its Gmail settings → Forwarding and POP/IMAP → Add a forwarding address.
- Microsoft 365: in the Exchange admin center, open the mailbox → Mail flow settings → Email forwarding, and enter its Freesbe address.
- A domain that only forwards mail: in your domain or DNS provider’s email forwarding settings, add a rule for each address (sales@northwind.example) that forwards to its Freesbe address. Keep any “catch-all” rule you already have: it still handles the addresses you don’t bring into Freesbe.
Many forwarding services first send a confirmation email to the address you forward to. It shows up in that inbox’s channel as a new conversation: open the link in it to confirm, then Close the conversation.
4. Try each one
Section titled “4. Try each one”Send an email to each of your addresses from your own email. Within a few seconds, a card with your subject shows up in the right channel. Reply in its thread: the answer arrives in your mailbox, and replying to it comes back to the same thread.
Good to know
Section titled “Good to know”- Replies show your team’s address as the one to answer, so customers keep writing to sales@northwind.example, never to the Freesbe address.
- Each inbox takes up to 2,000 emails a day. Your workspace can send 500 emailed replies a day.
- To stop bringing an address in, turn off its forwarding first, then turn off or delete its inbox. Mail to a turned-off inbox’s Freesbe address bounces.
