Freshsales

The Freshsales app brings your Freshsales account into the conversation. Once an admin connects it:

  • Alerts post new deals, deals moving stage, deals won and lost, and new contacts into the channels you pick, within about two minutes.
  • Link previews show a deal’s or contact’s details under any Freshsales link someone posts.
  • /freshsales finds a deal or contact without leaving the conversation.
  • Log to Freshsales adds any message to a contact as a note, with a link back to it.

Freshsales posts as its own member, Freshsales, so its cards are easy to tell apart from people.

Only Freesbe owners and admins can connect it. Freshsales connects with an API key, the one in your own Freshsales profile, so there’s nothing to install in Freshsales.

  1. In Freshsales, click your profile picture, then Profile settings → API settings, and copy Your API key.

  2. In Freesbe, open Workspace settings → Integrations & apps → Integrations → CRM and find Freshsales, under Dynamics 365.

  3. Type Your Freshsales address, the address you open Freshsales at, such as contoso.myfreshworks.com, and paste the Freshsales API key.

  4. Click Connect Freshsales. Freesbe checks the key straight away and shows Connected next to Freshsales, with the account’s name.

A workspace connects one Freshsales account. Freesbe reads deals and contacts as the person whose key it is, so it sees what they see in Freshsales: connect with the key of someone who sees every deal, such as a Freshsales admin. Notes from Log to Freshsales are saved as that person too. Freesbe doesn’t change or delete anything else.

Older Freshsales accounts open at an address like contoso.freshsales.io. That works too.

Under Freshsales alerts, click Add alert, then pick:

  • Post to channel. Any channel, public or private. Alerts in a private channel are only visible to admins who are in it.
  • Alerts to post:
    • New deals, as soon as one is added.
    • Deals moving stage, for example from Demo to Negotiation.
    • Deals won and Deals lost, when a deal moves to a won or lost stage.
    • New contacts, as they’re added.
  • Smallest deal to post. Deals worth less are left out. New contacts always post.

Add more alerts to send different things to different channels: big deals to #leadership, new contacts to #sales. Each card shows the deal’s value and stage, account, contact and owner, and an Open deal in Freshsales button.

From an alert’s ⋯ menu:

  • Send a test alert posts a sample card, marked Sample alert, so you can see where alerts land.
  • Edit changes the channel, the kinds of alerts or the smallest deal.
  • Turn off pauses it, and Delete removes it.

Last alert under each one says when it last posted. Freshsales doesn’t tell other apps about changes as they happen, so Freesbe checks your account every two minutes and posts what changed since the last check, each change once. Alerts start with what happens after you add them: Freesbe doesn’t post older deals.

When someone posts a link to a deal or contact in your connected account, such as contoso.myfreshworks.com/crm/sales/deals/5001, Freesbe adds a preview under the message. Up to three links in a message get a preview.

Everyone in the conversation sees the preview, including guests, so turn Show a preview under Freshsales links off in Integrations → CRM if your CRM details shouldn’t be shared that way. Links to other Freshsales accounts are left alone.

Type /freshsales and a name, an email address or a deal’s name in any conversation, for example /freshsales Contoso. The answer is only visible to you: matching deals and contacts, each a link that opens it in Freshsales.

The answer to /freshsales Northwind, only visible to Maya: a deal and its contact

Hover over any message, click ⋯ and choose Log to Freshsales.

  1. Type the contact’s email address or name. When the message is from a guest, their email address is already filled in.
  2. Change the Note if you like. It starts as the message’s text.
  3. Click Add note. When more than one contact matches, pick the right one and click Add note again.

Log to Freshsales: the contact’s email address and the note

The message goes on the contact’s notes in Freshsales, with who wrote it, the channel and a link back to the message in Freesbe. You get a confirmation only you can see, with an Open contact button.

In Integrations → CRM, click Disconnect next to Freshsales. Alerts and previews stop, and /freshsales and Log to Freshsales go away. Your alerts are kept, so connecting again picks up where you left off.

If Freshsales stops accepting the key, for example because it was regenerated or the person it belongs to left, Freshsales shows Needs reconnecting: paste a new key and click Reconnect.

  • Freesbe keeps the API key encrypted and only uses it to talk to your Freshsales account. Each change is posted once.
  • Freesbe doesn’t copy your CRM: alerts and previews are made from the record when they’re posted.
  • Disconnecting deletes the key from Freesbe straight away. To be sure it can’t be used again, regenerate it in Freshsales under API settings.

Setting it up for a sales team? See Connect Freshsales to Freesbe. If alerts don’t show up, see Freshsales alerts aren’t posting.
