Dynamics 365

The Dynamics 365 app brings your Dynamics 365 Sales environment into the conversation. Once an admin connects it:

  • Alerts post new opportunities, opportunities moving stage, opportunities won and lost, and new contacts into the channels you pick, within seconds.
  • Link previews show an opportunity’s or contact’s details under any Dynamics 365 link someone posts.
  • /dynamics finds an opportunity or contact without leaving the conversation.
  • Log to Dynamics 365 adds any message to a contact as a note, with a link back to it.

#sales with a Dynamics 365 alert for a new opportunity, and a Dynamics 365 link with a preview of the contact

Dynamics 365 posts as its own member, Dynamics 365, so its cards are easy to tell apart from people.

Only Freesbe owners and admins can connect it. For alerts, the person who connects also needs to be a System Administrator or System Customizer in the Dynamics 365 environment: Freesbe adds a webhook there that tells it about changes.

  1. Open Workspace settings → Integrations & apps → Integrations → CRM and find Dynamics 365, under GoHighLevel.

  2. Type Your Dynamics 365 address: the address you open Dynamics 365 at, such as contoso.crm.dynamics.com. Just the first part, contoso, works for environments in North America.

Workspace settings, Integrations, CRM: the Dynamics 365 address, northwind.crm.dynamics.com, and Connect Dynamics 365

  3. Click Connect Dynamics 365, sign in with your Microsoft work account and accept.

  4. You’re back in Freesbe with Connected next to Dynamics 365, and the organization’s name.

Workspace settings, Integrations, CRM: Dynamics 365 connected to Northwind Traders, link previews on, and two alerts

A workspace connects one environment. Freesbe reads opportunities and contacts as the person who connected, so it sees what they see in Dynamics 365. It adds notes when someone chooses Log to Dynamics 365, and the webhook for alerts. It doesn’t change or delete anything else.

If the person who connected isn’t a System Administrator or System Customizer, Dynamics 365 shows Alerts are off: previews, /dynamics and Log to Dynamics 365 work, and alerts start once someone who is one clicks Reconnect.

Under Dynamics 365 alerts, click Add alert, then pick:

  • Post to channel. Any channel, public or private. Alerts in a private channel are only visible to admins who are in it.
  • Alerts to post:
    • New opportunities, as soon as one is added.
    • Opportunities moving stage, when the opportunity’s sales process moves to another stage, for example from Develop to Propose.
    • Opportunities won and Opportunities lost, when an opportunity is closed as won or lost.
    • New contacts, as they’re added.
  • Smallest opportunity to post. Opportunities worth less, by their estimated revenue, are left out. New contacts always post.

Add more alerts to send different things to different channels: big opportunities to #leadership, new contacts to #sales. Each card shows the opportunity’s estimated revenue and stage, account, contact and owner, and an Open opportunity in Dynamics 365 button.

From an alert’s ⋯ menu:

  • Send a test alert posts a sample card, marked Sample alert, so you can see where alerts land.
  • Edit changes the channel, the kinds of alerts or the smallest opportunity.
  • Turn off pauses it, and Delete removes it.

Last alert under each one says when it last posted. Alerts start with what happens after you add them: Freesbe doesn’t post older opportunities.

When someone posts a link to an opportunity or contact in your connected environment, such as contoso.crm.dynamics.com/main.aspx?…&etn=opportunity&id=…, Freesbe adds a preview under the message. Up to three links in a message get a preview.

Everyone in the conversation sees the preview, including guests, so turn Show a preview under Dynamics 365 links off in Integrations → CRM if your CRM details shouldn’t be shared that way. Links to other environments are left alone.

Type /dynamics and a name, an email address or an opportunity’s name in any conversation, for example /dynamics Contoso. The answer is only visible to you: matching opportunities and contacts, each a link that opens it in Dynamics 365.

The answer to /dynamics Northwind, only visible to Maya: an opportunity and its contact

Hover over any message, click ⋯ and choose Log to Dynamics 365.

  1. Type the contact’s email address or name. When the message is from a guest, their email address is already filled in.
  2. Change the Note if you like. It starts as the message’s text.
  3. Click Add note. When more than one contact matches, pick the right one and click Add note again.

Log to Dynamics 365: the contact’s email address and the note

The message goes on the contact’s timeline in Dynamics 365 as a note, with who wrote it, the channel and a link back to the message in Freesbe. You get a confirmation only you can see, with an Open contact button.

In Integrations → CRM, click Disconnect next to Dynamics 365. Freesbe takes its webhook out of the environment, alerts and previews stop, and /dynamics and Log to Dynamics 365 go away. Your alerts are kept, so connecting again picks up where you left off.

If Microsoft stops accepting Freesbe’s access, for example because the person who connected left the company, Dynamics 365 shows Needs reconnecting: click Reconnect and sign in as someone else.

  • Freesbe signs in with Microsoft and keeps the access encrypted. Each connection’s webhook has an address and secret of its own, Freesbe checks the secret on every alert, and each one is posted once.
  • Freesbe doesn’t copy your CRM: alerts and previews are made from the record when they’re posted.
  • Disconnecting deletes Freesbe’s access straight away.

Setting it up for a sales team? See Connect Dynamics 365 to Freesbe. If alerts don’t show up, see Dynamics 365 alerts aren’t posting.
