Salesforce
The Salesforce app brings your org into the conversation. Once an admin connects it:
- Alerts post new opportunities, opportunities moving stage, opportunities won and lost, new leads and new cases into the channels you pick.
- Link previews show an account’s, contact’s, lead’s, opportunity’s or case’s details under any Salesforce link someone posts.
- /salesforce finds an account, contact, lead or opportunity without leaving the conversation.
- Log to Salesforce adds any message to a contact’s or lead’s activity as a completed task, with a link back to it.
Salesforce posts as its own member, Salesforce, so its cards are easy to tell apart from people.
The Salesforce app comes with the Corporate and Enterprise plans. On other plans, Integrations → CRM greys out Connect Salesforce and says it requires the Corporate plan, with a link to upgrade.
Connect Salesforce
Section titled “Connect Salesforce”Only owners and admins can connect it.
- Open Workspace settings → Integrations & apps → Integrations → CRM and find Salesforce, under HubSpot.
- To connect a sandbox instead of your production org, tick Connect a sandbox.
- Click Connect Salesforce. Salesforce asks you to sign in and allow Freesbe. Click Allow.
- You’re back in Freesbe with Connected next to Salesforce, and your org’s name.
A workspace connects one Salesforce org. Freesbe works as the person who connected it, so it sees the records they can see. Pick someone whose access covers the opportunities, leads and cases your alerts are about, such as a sales operations admin. Freesbe reads records and creates tasks when someone chooses Log to Salesforce. It doesn’t change or delete anything else.
If your org only lets approved apps connect, a Salesforce admin has to allow Freesbe first, in Setup → Connected Apps OAuth Usage.
Alerts
Section titled “Alerts”Under Salesforce alerts, click Add alert, then pick:
- Post to channel. Any channel, public or private. Alerts in a private channel are only visible to admins who are in it.
- Alerts to post:
- New opportunities, as soon as one is created.
- Opportunities moving stage, for example from Qualification to Proposal/Price Quote.
- Opportunities won and Opportunities lost, when an opportunity moves to a closed won or closed lost stage.
- New leads and New cases.
- Smallest opportunity to post. Opportunities worth less are left out. Leads and cases always post.
Freesbe checks Salesforce for changes every five minutes, so an alert arrives within about five minutes of the change. There’s nothing to set up in Salesforce for that.
Add more alerts to send different things to different channels: big opportunities to #leadership, new leads to #sales, new cases to #support. Each card shows the opportunity’s amount, stage, close date, account and owner (or the lead’s company, email and status, or the case’s status and priority) and an Open in Salesforce button.
From an alert’s ⋯ menu:
- Send a test alert posts a sample card, marked Sample alert, so you can see where alerts land.
- Edit changes the channel, the kinds of alerts or the smallest opportunity.
- Turn off pauses it, and Delete removes it.
Last alert under each one says when it last posted. Alerts start with what happens after you add them: Freesbe doesn’t post older records.
Link previews
Section titled “Link previews”When someone posts a link to an account, contact, lead, opportunity or case in your connected
org, Freesbe adds a preview under the message. Lightning links
(northwind.lightning.force.com/lightning/r/…) and Classic links
(northwind.my.salesforce.com/006…) both work. Up to three links in a message get a preview.
Everyone in the conversation sees the preview, including guests, so turn Show a preview under Salesforce links off in Integrations → CRM if your CRM details shouldn’t be shared that way. Links to other orgs are left alone.
Find a record with /salesforce
Section titled “Find a record with /salesforce”Type /salesforce and a name, an email address or an opportunity name in any conversation, for
example /salesforce Contoso. The answer is only visible to you: matching accounts, contacts,
leads and opportunities, each a link that opens it in Salesforce.
Log a message to a contact or lead
Section titled “Log a message to a contact or lead”Hover over any message, click ⋯ and choose Log to Salesforce.
- Type the contact’s or lead’s email address or name. When the message is from a guest, their email address is already filled in.
- Change the Note if you like. It starts as the message’s text.
- Click Log task. When more than one contact or lead matches, pick the right one and click Log task again.
The message goes on the contact’s or lead’s Activity as a completed task, with who wrote it, the channel and a link back to the message in Freesbe. You get a confirmation only you can see, with an Open contact or Open lead button.
Disconnect
Section titled “Disconnect”In Integrations → CRM, click Disconnect next to Salesforce. Alerts and previews stop, and
/salesforce and Log to Salesforce go away. Your alerts are kept, so connecting again picks
up where you left off. To remove Freesbe’s access in Salesforce too, open Setup → Connected Apps
OAuth Usage and revoke it.
If someone revokes Freesbe’s access in Salesforce first, the Salesforce app shows Needs reconnecting: click Reconnect to bring it back.
Privacy and security
Section titled “Privacy and security”- Freesbe signs in to Salesforce with OAuth and PKCE, keeps Salesforce’s access encrypted, and only asks Salesforce for what it shows. It doesn’t copy your CRM: alerts and previews are made from the record when they’re posted.
- Each change is posted once, even though Freesbe’s checks overlap.
- Disconnecting deletes Freesbe’s access straight away.
