Freesbe

Workflows

The routine runs itself.

A Freesbe workflow starts from something that happens, like a button, a schedule, a reaction, a keyword, a webhook from another app or someone clocking in, and runs its steps: a message, a form, an approval, a question with buttons, a to-do, a wait, an if. Templates cover onboarding, requests, approvals and reminders, and every run is listed.

Start from what happens

A workflow starts from a button on the Workflows page or at the top of a channel, a time on a schedule, an emoji reaction, someone joining a channel, certain words in a message, or a webhook from another app. It can also start from Freesbe itself: someone clocking in or out, a booking through your link, a meeting or huddle ending, a missed call, or a to-do from another workflow being done.

Forms, approvals and questions

A form asks one person short or long answers, a number, a date, a choice or a person, and the workflow waits for it. An approval sends up to 10 people a Review button, with any one or all of them deciding, reminders, and what happens when nobody answers in time. A question with up to five buttons takes the first click. Later steps use every answer as a variable.

If this, then that

An If step checks a form answer, a decision, a choice or who started it, with tests like is, contains, is more than or is empty, and runs one list of steps or the other. Amounts compare as numbers, so is more than 500 works on an expense. Add a to-do due today or tomorrow, wait minutes, hours or days, or set someone's status.

Start it from any other tool

Pick From a webhook, list the variables the other app sends, and Freesbe shows the workflow's URL. Zapier, Make, n8n and most tools send a POST from a webhook or HTTP request action, and each variable becomes {{webhook.order}} in your steps. Keep the URL secret; New URL replaces it.

Templates and a run history

Start from Welcome new people, Daily stand-up, IT help request, Incident kickoff, Weekly reminder, Time-off request, Expense approval, New booking alert or Missed call to-do, and change it in the builder. The last 50 runs are listed step by step: what it sent, who filled in a form, and where it stopped and why.

Questions

Who can make workflows?
Members can make workflows and change their own; admins can change, turn off or delete any. Admins can limit making workflows to admins. Guests can't make or run them.
What happens when the person who made a workflow leaves?
Workflows run as themselves, so they keep running. An admin can change or delete them.
How do people know a message came from a workflow?
Messages a workflow posts show its name and emoji with a Workflow label. Anything someone typed in a form is shown as plain text, so an answer can't mention @channel.
Is there a limit?
A workflow starts at most 200 runs an hour, so a loop or a flood can't run away. Each plan includes a number of workflows, from 5 on Free; the pricing page lists the limits.
