Call and meet

Phone system add-on

Closed means closed, and on hold sounds good.

Business hours set when your phones are answered: a time zone and hours for each day. A number that follows them answers as usual in hours and sends the rest to voicemail, a menu or a queue. Import your country's public holidays in one click. On hold, callers hear one of eight tracks composed for Freesbe, or your own jingle.

  • Stop a 7 pm call ringing the whole team: after hours it goes to voicemail or a message.
  • Add the year's public holidays in one click instead of twelve.
  • Play hold music you don't have to license, or your own message about opening hours.
  • Let each person pick their own hold music for their own calls.

For Any business with opening hours, and anyone who puts customers on hold.

The Admin Center on Business hours: weekdays 8:30 to 5:30 Pacific, with Thanksgiving, Christmas Eve and Christmas Day under Holidays

Hours per day, followed per number

Set the time zone and the hours for each day of the week, then open a number and turn on Follow business hours. During business hours it answers as usual. The rest of the time, calls go where After hours says: voicemail, a phone menu, a call queue, or hanging up. Numbers that don't follow the hours answer at any hour. In a call flow, a number's exits are Open, After hours and Closed days, so you see where each goes.

Business hours: weekdays 8:30 to 5:30 Pacific, with three holidays listed

Holidays, imported

Add the days off your usual hours: pick a date, give it a name, and choose Closed all day or Special hours, like 9 to 1 on Christmas Eve. Import holidays lists your country's public holidays for the next 12 months; untick any you work on and add the rest in one go, each closed all day and named. Calls on a closed holiday go where a number's On holidays says, the same place as After hours unless you pick another. Add regional holidays by hand.

Hold music with nothing to license

Callers hear music when someone puts them on hold or passes their call on. Pick from eight tracks composed for Freesbe: Lo-fi, Jazz, Classical, Bossa nova, Opus, Pop, Nature, or Quiet, a soft hiss so callers know they're still connected. Play lets you hear each one as callers will, and picking one changes the music on every call straight away. Your own music plays a jingle or a message about your opening hours instead: upload a recording you have the rights to, up to about 5 minutes.

Each person's own pick

Anyone can pick their own music on hold in Preferences, which plays on their calls only: Lo-fi, Jazz, Classical, Bossa nova, Opus, Pop, Nature or Quiet, with Play to hear a track first and The workspace's music to go back to what the admins picked. Call queues play their own hold music, set on each queue, and a ring group can play a track, your upload, or ringing.

After hours and holidays, per number

Each number's settings say whether it follows the business hours, where calls go After hours and On holidays, and whether callers who hide their number get through. A main line can close at 5:30 while a support line answers all night, and a holiday message can play on one and voicemail on the other.

Questions

Which plan includes this?
Business hours, holidays and music on hold are part of the Phone system add-on, on top of any paid plan.
Can different numbers keep different hours?
The workspace has one set of business hours, and each number chooses whether to follow them and where its after-hours and holiday calls go. Numbers that don't follow the hours answer at any hour.
What do callers hear after hours?
Whatever you chose for the number: the voicemail of the first person it rings, a phone menu, a call queue, or in a call flow a message read out in a voice you pick, like 'We're closed for the holiday.'
Can I upload my own hold music?
Yes. Upload an MP3, WAV or most other audio files you have the rights to play to callers, up to about 5 minutes. It plays as soon as it's in, and picking a track keeps your upload to switch back to.
